Setting Up Microsoft 365 Business Email

Updated

Microsoft 365 Business Email gives you Outlook-powered email at your own domain. This guide walks you through the setup process after purchasing a Microsoft 365 plan through MyDomains.tech.

What you’ll need

  • An active Microsoft 365 plan (purchased through MyDomains.tech)
  • Access to your domain’s DNS settings
  • About 20–30 minutes

Step 1: Activate your Microsoft 365 account

After purchasing, you’ll receive an email from Microsoft with your temporary admin credentials. Use these to log in at admin.microsoft.com.

Important: Change your password immediately after your first login.

Step 2: Add your domain to Microsoft 365

  1. In the Microsoft 365 admin center, go to Settings > Domains
  2. Click Add domain
  3. Enter your domain name (e.g., yourbusiness.com) and click Use this domain
  4. Microsoft will ask you to verify that you own the domain

Step 3: Verify domain ownership

Microsoft will give you a TXT record to add to your domain’s DNS. This proves you own the domain.

  1. Log in to your MyDomains.tech client area
  2. Go to Domains > My Domains, select your domain, then open DNS Management
  3. Add a new TXT record with:
    • Host: @ (or blank)
    • Value: the TXT record value provided by Microsoft
  4. Save, then return to the Microsoft admin center and click Verify

Verification typically takes 5–15 minutes.

Step 4: Configure DNS records for email

After verification, Microsoft will provide a set of DNS records to add. These records route your email through Microsoft’s servers.

Add the following records to your DNS:

Type Name Value
MX @ yourdomain-com.mail.protection.outlook.com
TXT @ v=spf1 include:spf.protection.outlook.com -all
CNAME autodiscover autodiscover.outlook.com

The exact values are provided in the Microsoft 365 setup wizard. Copy them carefully.

Step 5: Add users and create mailboxes

  1. In the Microsoft 365 admin center, go to Users > Active Users
  2. Click Add a user
  3. Fill in the name and assign a username at your domain (e.g., jane@yourbusiness.com)
  4. Assign a Microsoft 365 license
  5. Set a temporary password and send it to the user

Step 6: Test your email

Send a test email to your new address from an external account (like a personal Gmail). If it arrives in your Microsoft 365 inbox, setup is complete.

Accessing your email

Users can access Microsoft 365 email at:

  • Web browser: outlook.office.com
  • Outlook desktop app: Sign in with the new email address
  • Mobile: Download the Outlook app and sign in

Frequently asked questions

How long does Microsoft 365 email setup take?
Plan for 20 to 30 minutes of hands-on work. Domain verification usually completes within 5 to 15 minutes of adding the TXT record, and mail starts flowing through Microsoft once the MX record propagates, typically within an hour.
How much does Microsoft 365 Business Basic cost?
Microsoft 365 Business Basic is $7.20 per user, per month through MyDomains.tech. It includes a custom-domain mailbox with 50 GB of storage, 1 TB of OneDrive storage, Teams, and the web versions of Word, Excel, and PowerPoint.
Can I keep my existing email address when I switch to Microsoft 365?
Yes. As long as you control the domain, you can recreate the same addresses in Microsoft 365. Set up the mailboxes and migrate existing mail before you change the MX records, so no messages are lost during the cutover.
Do I have to buy my domain from MyDomains.tech to use Microsoft 365?
No. Microsoft 365 works with a domain registered anywhere, as long as you can add TXT, MX, and CNAME records at whoever manages that domain's DNS.
What is the difference between Microsoft 365 and Google Workspace?
Both give you professional email at your own domain. Microsoft 365 suits teams already using Outlook, Word, and Excel; Google Workspace suits teams that prefer Gmail, Docs, and real-time collaboration in the browser. Pricing is comparable at the entry tier.
