Why not just use a free Gmail or Outlook address?

A free address puts somebody else’s brand on every message you send, and you cannot take it with you. Mail at your own domain looks like a business, keeps working if you change provider, and stays yours: staff addresses can be created, reassigned and closed as people join and leave.

Should I choose Microsoft 365 or Google Workspace?

Both give you mail at your own domain, a shared calendar and cloud storage. Microsoft 365 suits teams already working in Outlook, Word and Excel, especially where desktop applications and existing document formats matter. Google Workspace suits teams that live in a browser and collaborate in the same document at once. If your accountant or clients send you Office files all day, Microsoft 365 is usually the smoother fit.

Can I keep my existing email address?

Yes, as long as you control the domain it uses. Mail is tied to your domain rather than to a provider, so moving suites keeps addresses intact. The switch is a DNS change: your MX records are repointed to the new provider once the mailboxes exist.

Will I lose my old email when I switch?

Existing mail can be migrated across, and the safe order is to create the new mailboxes, copy the mail in, confirm it arrived, and only then change the MX records. Nothing is deleted from the old provider by the act of switching, so the previous mailbox stays as a fallback until you close it.

How many mailboxes do I need?

One per person who sends mail. Shared destinations like info@, sales@ or support@ are usually aliases pointing at a real mailbox rather than licences of their own, so a two-person business with three public addresses generally needs two mailboxes.

Do I need hosting to have business email?

No. Email and web hosting are separate services, and a mailbox at your domain works whether or not you have a website. If you do run a site elsewhere, both can point at the same domain at once through its DNS records.
